How to Request a Hardware Quotation in Pakistan: RFQ & BOQ Checklist
Prepare a clear hardware RFQ with the right quantities, fitting details and delivery requirements. Includes a practical checklist and sample email.

To request a hardware quotation in Pakistan, send your supplier an item list, quantities and units, product references or fitting details, and the delivery destination. Add your company purchasing requirements if you need a formal quotation.
This checklist is for door fittings, locks, furniture hardware, bearings, wheels, tools and general hardware purchases. It helps procurement teams, contractors, workshops and individual buyers prepare a useful enquiry before comparing quotations.
Start with these four details:
- What you need: a description, catalogue link, model reference or clear photograph.
- How much you need: the quantity and unit, such as pieces, pairs or sets.
- Where and when you need it: delivery city or collection preference, plus the required date if known.
- How to reach you: contact name, phone or email, and company name for business requests.
You can start an enquiry even if some specifications are unknown. Flag the missing details so they can be checked before a product is confirmed.

What is the difference between an RFQ and a BOQ?
An RFQ, or request for quotation, asks a supplier to quote for a defined requirement. It can include an item list, specifications, delivery destination, response deadline and purchasing conditions.
A BOQ, or bill of quantities, is an itemised schedule of descriptions, quantities and units. You can attach the relevant hardware lines from your project BOQ to an RFQ. For workshop or maintenance purchasing, a simple parts list can serve the same practical purpose.
You do not need a complicated document to ask a useful question. One clearly described replacement item with measurements and a photograph can be enough to start. For several items, use a spreadsheet and keep one item or variant on each row.
The details to include in each hardware line
- Item description: name the fitting and its application. “Cabinet hinge” is a starting point; a model, fitting type or photograph makes identification clearer.
- Brand and model: copy the exact reference from the existing product, packaging or approved specification. Mark it as unknown if you cannot identify it.
- Dimensions: include units such as millimetres or inches. State what each measurement refers to rather than writing an unexplained number.
- Finish and material: specify the requirement where known; do not assume a photograph confirms material or grade.
- Selling unit and quantity: write pieces, pairs, sets, packs or another defined unit. State how many pieces a set or pack must contain when this matters.
- Alternatives: say whether you require the exact model or will consider alternatives after approval.
- Supporting information: add photographs, drawings, fitting measurements and any required product documentation.
If you do not know a detail, flag it for confirmation. Guessing a model or dimension can produce a quotation for an item that does not fit.
Check the details that matter for your category
Different hardware requires different identification checks. Use these as prompts for your requirement; the exact product specification remains the reference.
Door fittings and locks
For door hardware, describe the door material and fitting type, and include fixing measurements and the preferred finish. For replacements, photograph the existing fitting and mounting points.

Cabinet and furniture hardware
For furniture hardware, identify the cabinet or drawer application. Hinge enquiries may need the cup diameter, overlay arrangement and mounting information; drawer-channel enquiries need the required length and travel. Specify the quantity as individual components or complete sets so both sides understand the order. For example, "20 pairs, each containing a left and right channel" is clearer than "20 channels" when you need both sides.
Bearings and wheels
For bearings and wheels, include the bearing reference or measured dimensions, or the wheel and mounting details. State the intended application and load requirement where known. Ask for documented suitability on the proposed model rather than assuming all similar sizes have the same capacity.
Add delivery and procurement information
An item price alone does not describe the complete supply requirement. Include your delivery city, full site address, receiving contact and required date. Distinguish the date you need the quotation from the date you need the goods.
For company purchases, also provide:
- Company name and the person handling the requirement.
- RFQ, project or internal reference, if you have one.
- Reply email and phone number.
- Any purchase-order, invoice or vendor-onboarding requirements.
- Documents your organisation needs to review before approving a supplier.
- Whether you need the whole requirement together or will consider a partial supply proposal.

Choose how to send your requirement
For a short item list: open the business quotation form, enter your company and contact details, and describe the items and quantities in the message. You can submit a described requirement without adding catalogue products. If you have selected products, check their quantities and options in your quote list first.
For a BOQ, spreadsheet, drawing or several photos: use the email action on the quotation page and attach your files in your email app. The website form accepts a written requirement; it does not upload attachments. For a longer purchasing list, email the complete document rather than trying to fit every line into the message field.
If you prefer a WhatsApp reply: select WhatsApp in the form and include your phone number; email is then optional. The "Save & Send on WhatsApp" option saves the request before opening WhatsApp. Complete the send action in WhatsApp to share the message there.
If you submit the form and then email supporting files, include the saved request reference in the email so both parts can be matched. An RFQ asks for a quotation; confirm the quotation and fulfilment arrangements directly before proceeding with a purchase.
A sample hardware quotation email
The following is an illustrative enquiry. Replace the quantities, specifications and destination with your own requirement.

- Company and contact: [name, email and phone].
- Delivery destination: [city and complete site address].
- Quotation needed by: [date].

- Example line 1: cabinet hinges, 40 pieces; see attached model reference and fitting photographs.
- Example line 2: drawer channels, 20 complete pairs, each containing a left and right channel; see attached length and travel requirement.
- Alternatives: please identify any proposed alternative separately for approval.
- Procurement: please confirm purchase-order handling and the requested invoice or onboarding documents.
Please identify the quoted model, unit, quantity, availability, item prices, applicable taxes, delivery charges, payment terms and quotation validity. Please flag any line that needs clarification or cannot be supplied as specified.
Attach your actual item list and supporting images before sending. Downloading a template or opening an email link does not submit an enquiry.
Use the blank RFQ spreadsheet

Before accepting a quotation
Check that the quotation matches your requested products and units. Review the exact model or approved alternative, quantities, dimensions and finish, plus any unresolved specifications.
When comparing quotations, check the same requirement on each one:
- The same product or a separately identified alternative you have approved.
- The same quantity and selling unit, including the contents of any pair, set or pack.
- Item prices, applicable taxes and transport charges for the stated destination.
- Availability, confirmed timing, payment terms and quotation validity.
- Any services or fittings included in the quoted scope, if requested.
This makes an item-only quotation and a delivered quotation easier to compare without overlooking a difference in what is being supplied.
For collection, reply with your quote reference, chosen branch and planned visit date or time, then ask for confirmation of the items and quantities before travelling. For dispatch, confirm the address and receiving contact. A WhatsApp question alone does not reserve stock. Read the delivery and collection process before agreeing fulfilment.
